Join Our Team as a Customer Service Representative at Oak Tree Veterinary Hospital
Are you a friendly, detail-oriented communicator who loves helping people and pets? In this role, you’ll be the first point of contact for pet families. The role includes answering phone calls, scheduling same-day and flexible appointments, processing medication and food refills, and ensuring every client leaves confident in our compassionate, stress-free care.
This position requires exceptional multitasking abilities; knowledge of veterinary services, products, and procedures; strong communication skills; and a passion for providing excellent client service.
🔹 Responsibilities
- Provide clients with exceptional client service
- Open and close the hospital as directed
- Welcome clients and patients
- Answer incoming telephone calls
- Schedule appointments and answer client questions about basic veterinary care
- Manage credit card and cash payments
- Maintain accurate electronic client/patient medical and transaction records
- Educate clients on products, vaccine protocols, treatments, and procedures
- Clean and maintain the lobby
- Handle emergencies according to hospital policies
- Filling in for other areas and performing other tasks/functions as needed
- Good interpersonal skills, communication, and customer service skills
- Professional and polished demeanor and appearance
- Attention to detail
- Ability to educate clients on preventatives, injectables, vaccines, etc.
- Basic computer literacy and familiarity with Microsoft Outlook
- Must be eager to learn new skills and receptive to coaching
- Experience using Ezy-Vet Practice Management Software is a plus
🔹 Requirements
- 5 years of proven customer support experience or 2 years of relevant experience in a vet clinic
- Strong phone contact handling skills and active listening
- Excellent communication and presentation skills
- Ability to multitask, prioritize, and manage time effectively
- Willingness to work flexible hours, including evenings and every other Saturday
- Passion for animals and dedication to providing exceptional client care
- High school diploma
- Professional attitude and appearance
- Ability to work in a fast-paced environment
- Must be compassionate
🔹 Knowledge Requirements
- Basic understanding of veterinary terminology (preferred)
- Knowledge of common pet care needs and vaccinations (helpful)
- Familiarity with appointment scheduling and phone etiquette
🔹 Physical Requirements
- Ability to sit, stand, and walk for extended periods
- May need to lift up to 25 lbs. occasionally
- Comfortable being around animals (cats, dogs, sometimes exotic pets)
🔹 Hours / Work Schedule
- Full-time (35–40 hours) available
- Must be able to work morning, afternoon, evening, and weekend shifts
- Must be able to work extended hours when needed

Pay: $16–$20/hour (based on experience and qualifications)
